These Booking Terms & Conditions are designed to provide clear information about our booking process, payment schedule, cancellations, and the services we provide. Our goal is to ensure that both you and our team have a smooth, transparent, and enjoyable experience from your initial enquiry through to the delivery of your final photographs.

1. Payment Terms
1.1 Accepted Payment Methods
Payments may be made using any of the following methods:
- Wise (recommended for international transfers)
- Bank Transfer
- Cryptocurrency (USDT)
- PayPal (subject to a 5% service fee)
Any bank charges, currency conversion fees, PayPal fees, cryptocurrency network fees, or other transfer costs are the responsibility of the Client.
If the amount received differs from the amount invoiced due to transfer fees or exchange rate deductions, the remaining balance remains payable by the Client. Upon request, we are happy to provide proof of the amount received.
1.2 Third-Party Services
Where a booking includes third-party services such as makeup artists, transportation, decorations, accommodation, flights, ferry tickets, musicians, or other suppliers, payment may be required before the event to allow us to secure those services.
Any costs already paid to third-party suppliers are non-refundable once the booking has been confirmed.
2. Family Photography
2.1 Reservation & Payment
A reservation deposit of 30% of the total booking amount is required to secure your photography session.
The remaining balance may be paid on the day of the photography session before the shoot begins by cash (Indonesian Rupiah) or bank transfer.
2.2 Cancellation
The reservation deposit is non-refundable.
If the Client does not attend the scheduled photography session without prior notice (no-show), all payments made will be forfeited.
2.3 Bad Weather
If bad weather affects the photography session, we are happy to reschedule your booking to another available date at no additional charge.
If the Client chooses to cancel instead of rescheduling due to bad weather, a cancellation fee of IDR500,000/USD30 will apply to cover transportation and preparation costs.
Refunds for Family Photography cancellations are provided in cash only while in Bali. Refunds will not be made by bank transfer.
3. Proposal Photography
3.1 Booking & Payment
A booking deposit of 30% of the total booking amount is required to secure your proposal photography session.
The remaining balance may be paid on the day of the photography session before the shoot begins by cash (Indonesian Rupiah) or bank transfer.
3.2 Decorations & Third-Party Services
If your proposal package includes decorations, flowers, musicians, transportation, or any other third-party services, these services may require advance payment before your proposal date.
As these suppliers are booked specifically for your proposal, any payments made towards third-party services are non-refundable once confirmed.
3.3 Cancellation
The booking deposit is non-refundable.
If the Client does not attend the scheduled photography session without prior notice (no-show), all payments made will be forfeited.
3.4 Bad Weather
If bad weather affects the proposal session, we are happy to reschedule your booking to another available date at no additional charge, subject to availability.
If the Client chooses to cancel instead of rescheduling due to bad weather, a cancellation fee of USD 30 will apply to cover transportation and preparation costs.
Refunds for Proposal Photography cancellations are provided in cash only while in Bali. Refunds will not be made by bank transfer.
4. Pre-Wedding Photography in Bali
4.1 Commitment Deposit
For bookings made more than three (3) months before the scheduled photography session, a Commitment Deposit of IDR 2,500,000 is required to reserve your date.
Once the Commitment Deposit has been received, your date will be reserved exclusively for you. We will stop accepting other bookings for that date, allowing our team to fully commit to your pre-wedding session.
The Commitment Deposit forms part of your total package price and is non-refundable.
4.2 Payment Schedule
Approximately three (3) months before your photography session, we will request payment to bring the total amount paid to approximately 30% of the package value.
This allows us to confirm and reserve our photographers, videographers, lighting assistants, transportation, makeup artists, and any other suppliers required for your booking.
The remaining balance is recommended to be paid at least one (1) week before your photography session. Alternatively, payment may be made on the day of the session before photography begins.
4.3 Cancellation
All payments made towards pre-wedding bookings are non-refundable.
Your photography date is reserved exclusively for you. Once your booking is confirmed, we may decline other enquiries for the same date and make financial commitments to our photographers, videographers, assistants, transportation providers, makeup artists, and other suppliers. For this reason, all payments made towards pre-wedding bookings are non-refundable.
4.4 Bad Weather
Photography is always subject to weather conditions, which are beyond anyone’s control.
If weather conditions make the session unsafe or unsuitable, we are happy to reschedule your pre-wedding session to another available date.
A rescheduling fee of USD 200 applies to cover non-refundable costs such as transportation, makeup artists, and other suppliers already booked for your original date.
No additional photography fee will be charged for the rescheduled session.
5. Wedding Photography in Bali
5.1 Commitment Deposit
For bookings made more than three (3) months before the wedding date, a Commitment Deposit of IDR 2,500,000 is required to reserve your wedding date.
Once the Commitment Deposit has been received, your wedding date will be reserved exclusively for you. We will stop accepting other bookings for that date, allowing our team to fully commit to your wedding.
The Commitment Deposit forms part of your total package price and is non-refundable.
5.2 Payment Schedule
Approximately three (3) months before your wedding, we will request payment to bring the total amount paid to approximately 30% of the package value.
This allows us to confirm and reserve our photographers, videographers, lighting assistants, and any other crew members required for your wedding.
The remaining balance is recommended to be paid at least one (1) week before the wedding day and must be paid no later than the wedding day itself.
For wedding photography packages, we will provide a Sneak Peek Gallery of approximately twenty (20) professionally edited photographs within three (3) days after the wedding, or once full payment has been received, whichever occurs later. These images are perfect for sharing with family, friends, and on social media while your complete gallery is being carefully prepared.
5.3 Cancellation
All payments made towards wedding bookings are non-refundable.
Your wedding date is reserved exclusively for you. Once your booking is confirmed, we may decline other enquiries for the same date and make financial commitments to our photographers, videographers, assistants, and other suppliers. For this reason, all payments made towards wedding bookings are non-refundable.
6. Destination Weddings & Pre-Weddings
6.1 Booking & Payment
For destination weddings or pre-wedding sessions outside Bali, a minimum 50% deposit of the total package price is required to secure the booking.
This deposit allows us to arrange and confirm necessary travel requirements, including but not limited to flights, accommodation, transportation, ferry tickets, permits, and other arrangements required for the destination.
Any third-party costs related to travel arrangements must be paid before the booking date is confirmed.
6.2 Travel Arrangements
Travel arrangements will be discussed during the quotation process.
Where possible, clients may choose between:
Arriving one day earlier
This option provides additional flexibility, reduces the risk of travel delays, and may allow additional photography opportunities. This option may result in a higher quotation due to additional accommodation and travel expenses.
Travelling on the day of the booking
This option may provide a lower quotation but carries a higher risk of delays caused by airlines, ferry operators, traffic conditions, weather, or other transportation issues.
The selected travel arrangement may affect both the quotation and the level of travel-related risk.
Iwan Photography Bali will always make reasonable efforts to arrive as scheduled but cannot be held responsible for delays caused by circumstances beyond our reasonable control.
6.3 Cancellation
All payments made towards destination bookings are non-refundable.
This includes payments made towards flights, accommodation, transportation, suppliers, and other arrangements required for the booking.
6.4 Final Payment
The remaining balance is recommended to be paid at least one (1) week before the scheduled photography or wedding date.
For destination bookings, full payment must be completed before the start of the scheduled service unless otherwise agreed in writing.
7. Rescheduling
7.1 General Rescheduling Policy
We understand that unexpected situations may happen. If you need to reschedule your photography session or wedding date, please contact us as soon as possible.
Rescheduling is possible only subject to availability.
If your new requested date is available, payments already made may be transferred to the new date.
However, once a booking has been rescheduled, payments remain non-refundable for any reason.
7.2 Supplier & Third-Party Costs
Any costs already committed to third-party suppliers, including makeup artists, transportation providers, accommodation, flights, ferry tickets, decorations, or other services, remain non-refundable and may need to be paid again if new arrangements are required.
8. No-Show Policy
If the Client does not attend the scheduled photography session or wedding booking without prior notice, the booking will be considered cancelled.
All payments made will be forfeited, and no refund or rescheduling will be provided.
9. Force Majeure
Neither the Client nor Iwan Photography Bali shall be held liable for any delay, interruption, cancellation, or failure to perform obligations due to circumstances beyond reasonable control.
Force majeure includes, but is not limited to, natural disasters, earthquakes, volcanic eruptions, floods, fires, severe weather, pandemics, epidemics, government restrictions, travel bans, war, terrorism, civil unrest, strikes, transportation disruptions, venue closures, or any other unforeseen event that makes the photography or videography services impossible, illegal, or unsafe to perform.
Where possible, both parties may discuss alternative arrangements or rescheduling options subject to availability.
However, payments already made will remain non-refundable, as the booking date has been reserved exclusively for the Client and financial commitments may already have been made to our team and third-party suppliers.
Iwan Photography Bali will always make reasonable efforts to minimise the impact of any force majeure event and provide the best possible solution where practical.
10. Limitation of Liability
Iwan Photography Bali takes every reasonable precaution to provide a professional and reliable photography and videography service.
We use professional equipment, carry backup equipment where practical, and follow careful procedures to minimise the risk of equipment failure, data loss, or service interruption. However, despite taking reasonable precautions, unexpected situations may still occur.
These situations may include, but are not limited to:
- Equipment malfunction
- Camera, lens, lighting, or drone failure
- Memory card or storage media corruption
- Accidental file loss
- Computer or hard drive failure
- Theft or robbery
- Illness or injury affecting our team
- Transportation delays
- Other unforeseen circumstances beyond our reasonable control
If any such situation occurs, Iwan Photography Bali will assess each case individually and determine an appropriate solution based on the circumstances.
If only part of the photography or videography service is affected, any refund or compensation will be assessed proportionately based on the portion of the service that could not reasonably be delivered.
Under no circumstances shall the total liability of Iwan Photography Bali exceed the total amount actually paid by the Client for the affected services.
Iwan Photography Bali shall not be responsible for any indirect, consequential, incidental, emotional, or financial losses, including but not limited to travel expenses, accommodation costs, venue expenses, loss of enjoyment, or other costs arising from such circumstances.
11. Photography Terms
11.1 Photography Style
By booking Iwan Photography Bali, the Client acknowledges that they have reviewed our portfolio and understands our photography style.
Our approach focuses on natural emotions, genuine moments, storytelling, and a combination of candid and guided photography.
We welcome inspiration images and specific requests. However, the final images will remain consistent with our professional style, creative direction, and artistic judgement.
11.2 Coverage & Timing
We will make every reasonable effort to capture important moments throughout your session or event.
However, photography coverage is influenced by factors including:
- The agreed timeline
- Lighting conditions
- Weather
- Venue restrictions
- Guest cooperation
- Travel time between locations
- Events happening simultaneously
We cannot guarantee that every individual moment, person, interaction, or requested photograph will be captured.
The Client is encouraged to discuss important priorities, must-have photographs, and timeline considerations before the photography date.
11.3 Photographer’s Creative Judgement
Photography is a creative service. The selection of photographs, composition, lighting, timing, editing, colour grading, cropping, and final image selection are based on the professional judgement of Iwan Photography Bali.
Duplicate images, test shots, accidental captures, out-of-focus images, or photographs that do not meet our quality standards will not be included in the final delivery.
11.4 Venue Restrictions
Photography and videography are subject to venue rules, local regulations, and instructions from venue staff, celebrants, or event organisers.
Iwan Photography Bali will always respect these requirements, even if they limit certain photography opportunities.
The Client understands that venue restrictions may affect the type, position, or number of photographs that can be captured.
11.5 Drone Photography
Drone photography and videography are included where stated in the selected package and are subject to weather conditions, wind, venue policies, local regulations, and aviation restrictions.
Drone coverage cannot be guaranteed, and no refund or discount will apply if drone operation is not possible due to circumstances beyond our control.
11.6 Overtime
Photography and videography coverage will end at the agreed time stated in your invoice or booking confirmation.
Additional coverage may be requested on the day, subject to team availability, and will be charged according to our current overtime rates.
12. Client Responsibilities & Cooperation
12.1 Timeline & Preparation
The Client is responsible for providing an accurate timeline before the photography session or wedding day.
Delays caused by the Client, guests, venue staff, celebrants, planners, or other vendors may reduce the available photography coverage time.
Iwan Photography Bali cannot be held responsible for missed moments caused by delays or schedule changes outside our control.
12.2 Group Photography
For weddings and larger events, the Client is encouraged to provide a list of important family and group photographs before the event.
The Client should also nominate a family member, friend, planner, or coordinator to assist with gathering guests for group photographs.
While our team will guide the process, we cannot be responsible for locating every guest or family member during a busy event.
12.3 Guest Cooperation
Guests using mobile phones, cameras, or other devices may unintentionally block the photographer’s view.
Iwan Photography Bali cannot be held responsible for missed photographs caused by guest interference.
12.4 Children
Children are naturally unpredictable. Our team will always be patient and encouraging, but we cannot guarantee specific expressions, poses, smiles, or cooperation from children during photography sessions.
12.5 Personal Belongings
The Client is responsible for personal belongings during the photography session or event.
Iwan Photography Bali accepts no responsibility for lost, stolen, or damaged personal items.
13. Meals
For weddings or events with six (6) hours or more of continuous coverage, the Client agrees to provide meals for our photographer(s), videographer(s), and assistant(s).
Our team will take turns having their meals so that photography and videography coverage continues throughout the event. At least one member of our team will remain available to capture important moments while others take a short meal break.
14. Post-Production & Delivery
14.1 Editing Style
All delivered photographs include our standard professional editing, which consists of colour correction, exposure and brightness adjustments, contrast, white balance, cropping where appropriate, and general image enhancement to maintain the quality and consistency of our work.
Standard editing does not include digital manipulation, body reshaping, object removal, face swapping, background replacement, or other advanced retouching.
Premium retouching or advanced image manipulation is available upon request and will be quoted separately depending on the complexity of the work.
14.2 Image Selection & Delivery
Iwan Photography Bali will carefully select the strongest images from each photography session for final delivery.
The number of photographs delivered may vary depending on the type of photography, duration of coverage, number of locations, timeline, and natural flow of the session or event.
All final photographs are delivered in high-resolution JPEG format. RAW files and unedited photographs are not included unless specifically agreed in writing.
14.3 Wedding Sneak Peek Gallery
For wedding photography, we provide a Sneak Peek Gallery of approximately twenty (20) professionally edited photographs within three (3) days after the wedding, or after full payment has been received, whichever occurs later.
These images are provided so the Client can share highlights with family, friends, and on social media while the complete gallery is being carefully prepared.
14.4 Delivery Timeline
Final delivery timelines depend on the type of photography service and will be stated in your invoice or booking confirmation.
We always aim to deliver your photographs within the agreed timeframe. However, delivery times may vary depending on workload, season, event complexity, and the number of images requiring professional editing.
14.5 Albums & Physical Products
If your package includes albums or other physical products, these will be prepared after final image approval and delivered according to the production timeline provided.
Shipping costs, where applicable, will be discussed separately.
15. File Storage
15.1 Final Gallery Storage
Final edited photographs will be stored in our cloud storage and provided through a private download link.
While we aim to maintain access to your gallery for as long as possible, storage availability depends on the continued operation of the storage provider.
15.2 Client Backup Responsibility
The Client is strongly encouraged to download and create personal backups of all delivered photographs and videos.
Iwan Photography Bali is not responsible for any loss, corruption, deletion, or interruption caused by third-party storage providers.
15.3 Gallery Availability
Clients are responsible for keeping their download links and delivered files safely stored.
Requests to restore archived galleries after extended periods may not always be possible and may be subject to an additional service fee.
16. Copyright & Image Usage
16.1 Copyright Ownership
All photographs and videos created by Iwan Photography Bali remain the intellectual property and copyright of Iwan Photography Bali.
16.2 Client Usage Rights
Clients are granted personal usage rights for delivered photographs and videos, including:
- Printing for personal use
- Sharing with family and friends
- Posting on personal social media accounts
Commercial use, resale, publication for business purposes, advertising, or licensing to third parties requires prior written permission from Iwan Photography Bali.
16.3 Portfolio & Marketing Usage
Iwan Photography Bali reserves the right to use selected photographs and videos for portfolio purposes, website display, social media, promotional materials, and other marketing activities.
If the Client prefers that their images are not used for marketing purposes, please inform us before the photography date.
17. Acceptance of Terms
By paying a deposit, making payment, or confirming a booking with Iwan Photography Bali, the Client acknowledges that they have read, understood, and agreed to these Booking Terms & Conditions.
These terms are designed to provide clarity for both the Client and our team, allowing us to focus on creating a smooth photography experience and delivering meaningful images that can be enjoyed for years to come.
